Define the finished mailing file

A long contact list may still be unusable for printing. Write the required fields before comparing platforms. A business campaign may need company, recipient or department, street, unit, city, region, postal code and country. Campaign and message identifiers can support production. A verified email address does not establish that a postal address is suitable for the intended recipient.

Compare workflows against those fields

See Palrox’s guide to Clay alternatives for direct mail for related reading. Check each option against your finished-file requirements. Confirm whether it supplies mailing destinations, preserves sources and exports data in a usable format. Ask how uncertain values and duplicates are handled. A feature-rich enrichment workflow still needs these operational checks.

Test a representative sample

Include the industries, company sizes and regions you intend to target. Check that each business still operates at the location and that the recipient belongs there. The USPS Postal Addressing Standards cover US formatting. For Canadian mail, consult Canada Post addressing guidelines. Formatting and recipient verification are separate tasks. Test long names and multi-line addresses in the print template.

Calculate cost per usable record

Include subscriptions, credits, verification and cleanup. Divide preparation cost by the records that meet campaign requirements. Keep uncertain records out of production until resolved. Connect the audience with the channel plan and the creative with our customer grouping guide. Returned mail should update the source list, otherwise the same error may reappear in the next export. A maintained list can improve future execution as well as the current mailing.
